1. Who is responsible
BelleVille Developments Ltd is the data controller for the personal data described here. Contact: [email protected].
2. What we collect
- Contact details: name, email, phone, and postal address.
- Enquiry details: what you are buying, selling or building, where, budget, timeline and funding position.
- Transaction documents: identification, proof of address, evidence of funds or income, and company documents where you buy through a company.
- Property information: addresses, condition, tenancies and figures relevant to the matter.
- What you asked to be sent: where you are looking, your budget, the kind of property, and the rest of the answers you gave the form, so we can tell when something we take on fits you.
- Your account: an email address, a password we generate and hold only as a hash, and the record of what we have sent you.
- Technical data: pages visited and basic device information, used to keep the site working and to understand which pages are useful.
3. Why we hold it, and our lawful basis
- To answer your enquiry and provide our services: performance of a contract, or steps taken at your request before entering one.
- To carry out identity and source-of-funds checks: compliance with our legal obligations.
- To run and improve the business: our legitimate interests in operating, securing and improving what we do, balanced against your rights.
- To send you properties that match what you asked for: your consent, given when you filled in the form asking for them. Every email carries a link that takes you off the list on the first click, and we act on it immediately.
- To open you an account on this site: our legitimate interest in giving you one place to see what we have sent you. You are told the details only when we email them to you, and you can ask us to close it at any time.
4. Who we share it with
Only the people who need it to do the work: solicitors and conveyancers, mortgage and finance brokers, lenders, surveyors and inspectors, contractors on your project, letting and managing agents, capital partners where a structured purchase is involved, our accountants, and our IT and communications providers. We do not sell your data, and we do not share it for anyone else's marketing.
When we prepare a quotation for building work, our office may choose to send photographs of the site and a written description of the job to OpenRouter, Inc., which passes them to the AI model providers it routes to, so that a first draft of the list of works can be written for us to check. They act as processors for that purpose. We send no name, email address or postal address with them, ask that the material is not used to train models, and we keep the photographs for no longer than 90 days after the quotation is accepted, declined or expires. Nothing is sent unless a member of our office chooses to send it.
5. International transfers
Where a matter involves a property or a partner outside the UK, we may share the data needed for that transaction with the local professionals instructed on it. Where data leaves the UK we rely on an adequacy decision or on approved contractual safeguards.
6. The mailing list, and your account
If you asked us to send you properties that fit, we keep your answers on a list and compare them with what we take on: the region, the budget and the type have to agree before anything is sent. A person decides whether each one actually goes out; nothing is sent automatically, and we do not send anything else to that list.
Every email has an unsubscribe link. Using it stops the emails immediately and permanently. It does not delete you: we keep the record that you were on the list and that you left it, because that is what stops you being added back by the next import. Ask us and we will delete it outright.
Registering also opens an account on this site with a password we generate. Until we email you those details the account does nothing at all. If you would rather not have one, say so and we will close it.
7. How long we keep it
Enquiries that do not proceed: up to 12 months. Mailing list entries: until you unsubscribe, and the record of that for 3 years afterwards. Client and transaction records: 6 years from the end of the matter, or longer where a specific legal obligation requires it. Photographs sent for an AI draft of a quotation: no longer than 90 days after the quotation closes. Compliance records are kept for the period required by law.
8. Your rights
You can ask for a copy of your data, ask us to correct it, ask us to delete it, object to or restrict how we use it, ask for it in a portable format, and withdraw consent where consent is the basis we rely on. Write to [email protected] and we will respond within one month.
9. Complaints
If you are unhappy with how we have handled your data, tell us first so we can put it right. You can also complain to the Information Commissioner's Office.
10. Cookies
This site sets only what it needs to work: your session if you sign in, an access code if we give you one for a deal, and your answer to the cookie notice so it stops asking. We set no advertising and no cross-site tracking cookies. If we ever add analytics it will be off until you agree to it, and it will be listed here.
11. Security
Access to client files is limited to the people working on the matter. Documents you send us are stored in access-controlled systems. No system is perfect, and we will tell you promptly if a breach affects you.
